Information you provide

When you enquire, we receive your name, email address, message and, if you choose to include it, your business name and mobile number. We also receive information you provide in follow-up correspondence. If you use the client portal, we process your account and contact details, sign-in information, and the business records or messages you access or provide, such as quotations and invoices. Providing information is voluntary, but the form needs a name, email and message to submit an enquiry, and we need enough detail to respond. You can email us instead. Please do not send passwords, payment details or sensitive customer or employee records.

How we use your information

We use enquiry information to respond, understand your requirements, discuss possible work and keep a record of our correspondence. We may also use it where necessary to protect the website from misuse or meet legal obligations. We also use portal information to authenticate access, provide the records associated with your account and administer our work with you. An enquiry does not subscribe you to marketing emails.

Service providers and overseas processing

The contact form is processed by our Odoo system and routed to Chris through our iCloud email service. Odoo holds relevant enquiry, account and business records. Our Odoo server is hosted in Australia; encrypted backups are kept in New Zealand and in our OneDrive backup storage. Cloudflare delivers and protects the website. Our email, hosting, security and backup providers may process information in other countries. We remain responsible for information handled on our behalf and must meet applicable New Zealand privacy requirements for overseas disclosures. We do not sell enquiry information. We share it only as needed for the purposes described here, with your authorisation, or where permitted or required by law.

Website data and cookies

Odoo uses cookies for sessions, sign-in and website preferences. Odoo and our hosting and security services may process IP addresses, browser details, pages requested and security logs to operate and protect the site. Google Analytics and Plausible analytics are not configured on this website. Your browser lets you manage cookies; blocking them may prevent sign-in or affect the enquiry form and portal.

Keeping information

We retain enquiry and portal information only for as long as needed to handle the enquiry, maintain relevant business records and meet legal obligations, then delete it or remove identifying details. Retention can depend on whether an enquiry leads to work and the record-keeping requirements for that work. Deleted information may remain in protected backups until those backups expire under our retention schedule. We take reasonable steps to protect personal information against loss, misuse and unauthorised access; no internet transmission or storage system is completely secure.

Access, correction and concerns

You can ask Chris for access to, or correction of, personal information we hold about you. We may need to verify your identity before responding. You can also ask us to delete information we no longer need, subject to any legal retention requirements. If you have a concern, please contact us first so we can try to resolve it. You can also contact the New Zealand Office of the Privacy Commissioner.

We may update this policy when the website or our information practices change. The date above identifies the latest update. Any new use of existing personal information must still comply with applicable privacy law.
